To keep it simple we could all stay at the same hotel and maybe meet up for lunch somewhere in brum to admire each others cars etc. How about leaving enough time for people to go and do some xmas shopping in the bull ring etc. A night out at a venue like the jam house is usually a safe bet for most people?
